How we decide

The simplest automation that works.

A lower subscription bill on its own isn't a reason to build. The honest comparison is the full cost: setup, running costs, upkeep and your team's time, against what you have now.

So the first question is always whether the software you already pay for can do the job. Configuring it is the cheapest improvement there is, and connecting systems comes next. Replacing a tool or building custom only wins when an important workflow needs something no product does at a sensible price.

Work that isn't held up by what your software can't see.

Supplier confirmations, client emails, permit notices and records from other offices arrive outside your systems. We match each one to the right job, client or patient, and send what's still missing to the person who can chase it.

Outside updates, matched to the work

Supplier confirmations, permit notices, client replies and records from other offices arrive by email, portal and fax. Each one is matched to the right job, matter or patient and the status is updated. Anything that can't be matched with confidence goes to a review queue instead of a guess.

Where AI helps: Reads unstructured emails and documents, works out which job or client they belong to, and says how sure it is.

Blocked work, surfaced

Each job or project carries the outside items it's waiting on. Work isn't marked ready until they're in, overdue items go to the person who can chase them, and follow-ups to outside parties are drafted for approval.

Where AI helps: Drafts follow-ups that name exactly what is missing, and reads replies so a new date or a problem gets logged.

02 · Changes and commitments

Decisions that actually reach the work.

A change approved on a call, a deadline agreed by email, a promise made in a meeting. AI agents find them, the owner confirms them, and they're checked against the scope, the tasks and the billing so nothing is done for free or not done at all.

Client changes into scope and billing

Changes agreed in email or on a call are proposed to the account or project lead. Once confirmed, they're checked against the scope, the task list and the billing, and a change order is drafted wherever one is needed.

Commitments that get done

Promises made on calls and in meetings are pulled out, confirmed by the person who made them, and linked to existing tasks. Anything with no sign of being done by its date goes back to its owner.

03 · Complete, consistent records

Done means done, and your systems agree.

Work marked complete is checked against the documents, photos and sign-offs you require. Where two systems disagree about a date, an amount or an approval, the mismatch comes to a person with the evidence side by side.

Completion checks before billing

When work is marked complete, it is checked against what that client or job type requires: documents, photos, sign-offs, permit closeout. Missing items go back to the person who can supply them, and the invoice waits until the set is complete.

Where AI helps: Reads uploaded documents and photos to confirm the required items are there, and flags anything unreadable or out of date. It confirms something is present, not that the work was done well.

Document readiness checks

Documents from clients are checked against your firm's checklist for that service: missing months, old versions, missing signatures and blank required fields. Staff get a clear list, and the follow-up to the client is drafted for approval.

Records that agree

Dates, amounts, identifiers and approvals are compared across your systems, such as supplier bills against purchase orders and job costs. Mismatches are gathered with the evidence from each system and sent to a reviewer, instead of being found at month end.

Built into the phone and inbox your team already uses.

Automation only works if your staff actually use it. So when a workflow needs a person, we don't hand them another login. We put that one step where they already are: in a phone app built for their job, or inside the email they have open all day.

Phone apps

For crews, techs and anyone away from a desk.

A custom app for iPhone and Android that does the few things each role needs and nothing else: close out a job with photos and a signature, confirm a delivery has arrived, approve a change on site. Fewer screens means less training and fewer skipped steps.

Where AI helps: Checks photos and documents as they're captured, and flags anything missing before the person leaves the site.

An add-in that sits inside Outlook or Gmail, right beside the message. Confirm a change the system spotted in a client's email, attach a document to the right job or matter, or approve a follow-up, all without leaving the email.

What we won't build

Some software is worth keeping as it is.

  • Email, calendars and office suites. They're cheap, standard and very good.
  • Accounting and payroll. Your accountant already knows them, and the rules change every year.
  • Certified clinical systems like an EHR, where certification is the product.
  • Anything an off-the-shelf tool already does well at a fair price. We'll tell you to keep it, or help you set it up properly.

Questions people ask

Do we have to replace our current software?
Usually not. Most work starts by configuring or connecting what you already have. Replacing a tool or building one comes later, and only where it clearly pays for itself, running costs included.
Will our staff have to learn new software?
As little as we can manage. Where a workflow needs a person, we build that step into a simple phone app or an add-in for Outlook or Gmail, so it happens where they already work. Training covers the few things that change.
Is this built with AI?
We use AI-assisted development to build faster, and we put AI inside a workflow only where it earns its place: reading documents, sorting requests, drafting replies for a person to approve. Everything is reviewed and tested by people before it ships.
How long does a project take?
It depends on what you already run and how clean the data is. Once a review shows a workflow is worth fixing, the scoping call and process mapping end with a proposal that includes a timeline and a fixed price, so you know both before you commit. Small scope adjustments are built into that price; bigger changes go through a written change order.
What if we outgrow what you build?
You own anything we build, so it grows with you. We can keep improving it, your own developers can take it over, or both.
