To get sales team data out of NikoHealth, pull it through NikoHealth’s API into a sales layer that sits beside it, with RPA for anything the API can’t reach. Brightree works the same way: RPA does most of the work, and depending on the company’s scale, Brightree’s API can carry some of it too. The billing system stays the system of record. The sales team gets live numbers without asking anyone to run a report.
We’ve built this for two medical supply companies, one on each system. Here’s how, and why a billing report was never going to be enough.
Can NikoHealth and Brightree report on sales reps?
Yes, and that’s worth saying plainly. NikoHealth can put a sales rep on each order, limit reps to their own orders and report by rep. Brightree offers a full suite of analytics and reporting, including marketing, and sells data and analytics as a separate product. Neither is missing the data.
What our clients ran into was everything around the data:
- Every answer was a report to build. At the Brightree client, commission reports took the sales VP days every month, and pulling and matching channel data, churn reports, channel sales and management updates took days more. At Precision Medical Supply, on NikoHealth, management spent more than 50 hours a month1 on reporting, much of it matching new orders to the right rep.
- A report is a snapshot. By the time it was done, the numbers had moved. The Brightree client’s management saw the reps’ month about 45 days2 after it happened, which left blind spots around the reps who were struggling.
- The reports weren’t built for a sales manager. They’re organized around orders and billing, not pace against goal, office trends or commissions.
- Reps had no way in. A rep sitting with a doctor’s MA couldn’t check an order, so they called operations, constantly.
How do I get sales team data out of NikoHealth?
Through its API. The system we built for Precision Medical Supply uses NikoHealth’s API wherever it can, and an RPA service handles what the API can’t. The data lands in a separate database beside NikoHealth, and each sale is tied to its rep as it comes in.
From there, nobody has to build a report. Reps see the month’s leads, their commissions and the live status of every order, at a desk or on an iPhone in the field. Because every sale is attributed when it arrives, the monthly arguments over attribution all but went away. Management sees which channel each new patient came from. And none of it needed an extra NikoHealth seat for sales or management.
How do I get sales team data out of Brightree?
Mostly through RPA. For our Brightree client, the build started out leaning on Brightree’s API. Getting it to work reliably for that job was a hard slog, so the connection moved mostly to RPA. Order statuses now come in with a scheduled pull every night, and on demand when someone needs them sooner. Leads and their attribution are captured the moment they arrive.
That doesn’t rule the API out. Depending on the company’s scale, Brightree’s API can take on more of the work, with RPA covering the gaps. We settle that at scoping, against your own data, rather than assuming either way.
NikoHealth and Brightree side by side
| NikoHealth | Brightree | |
|---|---|---|
| Sales data inside the system | A rep on each order, reports by rep | An analytics and reporting suite, including marketing |
| How we pull it out | The API, with RPA where the API can’t reach | Mostly RPA, with the API too depending on scale |
| How current the sales view is | Each sale attributed as it arrives, with live order status | Leads as they arrive; order statuses nightly or on demand |
| Our client | Precision Medical Supply | A medical supply company on Brightree’s cloud-based system |
What does a sales manager actually need?
| Question | A report answers it | A sales layer answers it |
|---|---|---|
| Which reps are on pace today? | After someone builds it | On one live screen |
| Which offices are sending fewer referrals? | Weeks later | Almost as it happens |
| What is each rep owed? | After days of month-end work | As orders ship, with returns taken off |
| Where does this patient’s order stand? | A call to operations | The rep’s phone |
Why not buy an analytics add-on?
The Brightree client looked. An established HME solutions platform that integrates with Brightree quoted more than $30,000 to implement and over $2,500 a month3 to run. It still wouldn’t have calculated commissions or tagged patients by the channel they came in through, and those were two of the reasons for doing this at all.
What did we build for the Brightree client?
A sales layer beside Brightree, not inside it:
- Every lead captured as it arrives and stored in our own Neon database, where Brightree’s order data and statuses are matched to the rep, the office and the marketing channel.
- A manager dashboard with orders shipped, each rep’s pace against goal, leads and ship rate by channel, returns and commissions due.
- A phone app for reps with live order status, notes and insurance verification, so they can answer an office on the spot.
- Commissions calculated from shipped orders, with returns deducted in the month they come back, approved and exported for payroll.
- Only the data it needs, encrypted, under a BAA for every platform that touches patient data.
What changed?
Sales reporting went from more than 5 days a month to under 30 minutes4. Reps’ calls to the production team fell 70%5, and the calls that still come in are usually urgent. Management sees order counts, office order rates and rep pacing in near real time. It all runs for $655 a month6, with no seat licenses. The full case study has the screens and the rest of the numbers.
At Precision Medical Supply, the system removed the management reporting outright. That case study covers the NikoHealth side.
When is a report enough?
With a handful of reps and one main referral source, a monthly report from your billing system may be all you need. A sales layer earns its keep once pace, office trends and commissions drive decisions every week, and a month-old number is a month too late.
Getting your sales data out
If you run on NikoHealth or Brightree and your sales team is still waiting on reports, this is a fixed-price build beside the system you already have, and you own the code. It starts with a Free Workflow Review: one conversation about how your sales data moves today, then a short written summary of what it would take.
The short version is here: how a medical supply company should track sales reps.
- Loque Logic case study: intake to reorder for a medical supply company (2026). A typical month; busier months took longer.
- Loque Logic case study: sales, channel and commission tracking for a medical supply company (2026). A baseline, as the client described it.
- Loque Logic case study: sales, channel and commission tracking for a medical supply company (2026). The vendor isn't named. A single quote, not a market price.
- Loque Logic case study: sales, channel and commission tracking for a medical supply company (2026). A typical month's figures, as the client gave them.
- Loque Logic case study: sales, channel and commission tracking for a medical supply company (2026). One client's result.
- Loque Logic case study: sales, channel and commission tracking for a medical supply company (2026). Excludes the build and maintenance.
